SPM Residential Services is seeking a detail-oriented, proactive Maintenance Coordinator to join our dynamic property management team. The ideal candidate will play a key role in ensuring our rental properties are well-maintained, vendors are held accountable, and maintenance requests are handled efficiently and professionally. This position requires strong communication skills, excellent organizational habits, and a customer-first mindset.

Key Responsibilities:
Maintenance Coordination:
• Review, prioritize, and respond to incoming maintenance requests from tenants and owners.
• Troubleshoot maintenance issues with tenants before dispatching vendors, using guided scripts and documentation.
• Dispatch appropriate vendors based on property-specific notes, warranty status, spending limits, and urgency of the issue.
• Communicate with property managers and/or owners when approval is needed or costs exceed established limits.
• Monitor open work orders and follow up with vendors to ensure timely and satisfactory completion.
• Review vendor invoices for accuracy and compliance with estimates, scope of work, and company standards.

Vendor & Property Support:
• Maintain accurate records of preferred vendors, authorized tradespeople, and vendor performance.
• Assist in managing and tracking company lockboxes, keys, and property access procedures.
• Coordinate and perform periodic property reviews, documenting findings and escalating concerns.
• Install or coordinate installation of yard signs and lockboxes for new listings and marketing purposes.

General Operations & Projects:
• Support the property management team with special projects as needed, such as seasonal inspections, vendor audits, or property turnovers.
• Provide administrative support related to maintenance operations and process improvement initiatives.

Qualifications:
• Previous experience in property management, maintenance coordination, or facilities management preferred.
• Strong organizational and time-management skills.
• Excellent verbal and written communication abilities.
• Ability to multitask and manage a high volume of requests with accuracy and efficiency.
• Comfortable working with property management software (AppFolio experience is a plus).
• Valid driver’s license with reliable transportation and ability to travel locally for property visits as needed.

Working Conditions:
• Primarily office-based with occasional field work (property visits, signage installation, etc.).
• Standard business hours are Monday – Friday 8am – 5pm with occasional need for flexibility based on project deadlines or urgent issues.
